In the Peoplevine Dashboard, an admin is able to modify the Finance and Accounting requirements for Tax Rules, General Ledger (G/L) and Cost Center matching on products and services.
To get started, as an Admin go to the company menu and click on either Tax Rules, G/L Accounts or Cost Centers. This will take you to either see your current list or to add a new one.

TAX RULES
Start by going to Tax Rules, this will display a list of your existing Tax Rules. You can register additional Tax Rules as needed.

When adding a Tax Rule, you will select if the taxes should be combined with the item price (inclusive) or displayed separately (exclusive). Based on your region, we'll select this by default.

Then you can assign existing tax/fee config associated with this Tax Rule or you can create a new Tax Rule Item.

When setting up a new Tax Rule Item, you can specify the visible title, the percentage and the dates this tax rule item should apply, this allows you to expire one, while the following tax year will adjust to the new rate.

Once these are configured and assigned, the system will now process calculating the taxes based on these rules.

Once you've added the Tax Rules settings, you can now assign this to your existing skus in Peoplevine. You can go to any Event, Event Tickets, Membership, Product, Scheduler or Service to assign the Tax Rule.

By hitting the New Row + button, you can assign multiple Tax Rules using a different percent allocation towards that Tax Rule.
When setting up Membership Programs and Services with accounting settings, you can assign the configuration to either the Membership Dues (recurring fee), the Initiation Fee, the Application Fee and the Service Fee charged if enabled. All 4 can be assigned and separated into different Tax Rules.

These settings will be used to calculate the total taxes for an item when being purchased.
You can also audit which configuration is missing or already configured by going to the Manage Mappings link under Taxes. This will allow you to filter by mapped vs. unmapped across various configuration types in Peoplevine.

You can either make an update one by one, by clicking on Save, or you can click update at the bottom to modify multiple configurations at once.
If you don't assign a Tax Rule to an item, we'll default to the standard platform settings.

If you wanted to set a 0% tax, meaning no tax is charged, the best way to do this is by creating a new Tax Rule called Zero Tax. Add a Tax Rule Item to it with 0% as the tax amount. Then assign this to the item you don't want to charge tax on.

G/L ACCOUNTS & COST CENTERS
Go back to the company menu and go to G/L Accounts, this will display a list of your existing G/L Accounts. You can register additional G/L accounts as needed.

When adding a new G/L Account, we require the Account Number and Account Name.

Go back to the company menu and go to Cost Centers, this will display a list of your existing Cost Centers. You can register additional cost centers as needed.

Once you've added the G/L Account and Cost Center settings, you can now assign this to your existing skus in Peoplevine. You can go to any Commerce Coupon, Event, Event Tickets, Membership, Product, Voucher, Scheduler or Service to assign the G/L Account Number or Cost Center.

By hitting the + button, you can assign multiple Cost Centers and G/L Accounts using a different percent or dollar allocation towards that G/L or Cost Center. Please note that a $ Allocation takes precedence if you include both % and $ Allocation values.

These values will then output in Accounting reports and when syncing to external platforms.

You can also map the G/L accounts to your payment methods by going to the Company Settings menu and setting accordingly.

Generating an Export for Sun Systems
To Generate an export for Sun Systems, go to the Company Menu and find Export Data for External Platform

Select Sun Daily Extract as the report to generate, then select the dates you want to generate the extract for (please note: a slowdown will occur for longer periods).

Upon clicking generate, the system will generate the extract for you and send you an e-mail with a link and instructions to download.
